The date, time, number of guests and any special requirements must be set forth in the rental request section and cannot be changed thirty (30) days or less before event.
Reservation Requirements: Incidental Security Deposit plus 50% of Facility Rental balance are due at the time of reservation. Reservations will not be placed on hold without a contract and payment. (No Exceptions) Incidental Security Deposit will be reimbursed if the contract is not breached. Victory Room $300 / Conference Room $150.
Rooms must be reset to its original format and vacated by the agreed time of contract. Failure to comply could result in the loss Incidental Security Deposit and future use along with the contact of local police.
Fees will be assessed if damages to the property are discovered; lessee is required to pay for repairs to the facility and its grounds to repairs and/ or restore the facility and grounds to its original and/ or reasonable and acceptable state. The Incidental Security Deposit will be used to cover any repairs/ restoration due to damages. If the cost of the repairs and/ or restoration exceeds the deposit amount, the lessee will be billed and agrees to pay any additional amounts.
Balance Due: The rental fee balance is due thirty (30) days prior to the event. The fee must be in the form of a money order or certified check made payable to Lou Walker Senior Center. If fees are not paid on or before payment schedule than the contract becomes void and the event will be cancelled. The lessee will be informed of cancellation by mail.
CANCELLATION POLICY: Cancelations occurring sixty to forty-five (60-45) business days prior to the event will result in 50% forfeiture of fees paid and cancellations occurring forty-five (45) business days or less prior to the event will result in a full forfeiture of fees paid and remaining balance. Changes and cancellations must be communicated in writing as an addendum to this agreement. Additional charges may apply to transfer of date(s) and/or request of extended hours
SECURITY OFFICER/ POLICE OFFICER POLICY: Lou Walker Senior Center requires security onsite during all business hours. A police officer must be hired in the event of serving alcohol. The client may not hire his or her own security or police officer to replace a Lou Walker Senior Center’s Security Officer or DeKalb County Police Officer. The security officer’s payment will be included in the rental agreement. However, the DeKalb County Police Officer must be paid directly to the officer on the day of the event.
There will be no sectarian or politically oriented functions held in the facility.
For-profit functions must be approved by the Director.
Business or Organizational Rentals: A certificate of insurance must be received by the licensor with the application indicating liability coverage for the event in the amount of $300,000/ $100,000 bodily injury/ property damage. The Lou Walker Facility must be named as an additional insured party for the duration of the event.
A sample of the event invitation or announcement must be provided to the lessor before it is distributed.
The lessee agrees to release the Lou Walker Facility, DeKalb County and staff from all liability, injury, loss of property actions, suits or any other nature as it results to or is related to the attendance and/ or participation in the rental event. Additionally, the lessee agrees to assume responsibility for damage or theft to the facility caused by anyone attending or present on the premises as a result of the event.
The facility, staff and/ or volunteers cannot accept or sign for deliveries; nor be responsible for event equipment or supplies. Event equipment and supplies must meet facility approval prior to use. Deliveries and pickups must be made on day of rental and received by Lessee during rental time. (No Exceptions).
Lou Walker Senior Center reserves the right to cancel event or withhold incidental security deposit if client and/or parties of client cause a hostile and/ or belligerent situation. Police may be contacted and all guests asked to leave premises. We ask that all parties act responsible and respectful during the entire process of agreement.
Lou Walker Senior Center will serve the right to cancel events due to inclement weather or in the case of a state of emergency. Client will be allowed to transfer date or request a full refund.
No ALCOHOLIC BEVARAGES can be served without prior signed approval from the Lou Walker Senior Center. If you wish to serve Beer, Wine and/ or Champaign please request the Lou Walker Alcoholic Beverage Policy and Procedures Agreement. Client must have a licensed and insured bartender and he/or she must request to see I.D. of any individual partaking in the servicing of alcohol. Lou Walker Senior Center abides by the Georgia Law of only serving alcohol to adults 21 and older.
No SMOKING allowed inside of the Lou Walker Senior Center, in front of the building or on the outdoor patio. Smoking is only allowed in the designated smoking area. No DRUGS or WEAPONS permitted on the property.
Lessee must comply with facility emergency evacuation policies and procedures.
Failure to abide by the aforementioned rules and regulations will constitute loss of security deposit in its entirety. I have read and understand the aforementioned rules and regulations.
